DISTINGUISHING FEATURES OF THE CLASS:

The fundamental reason this classification exists is to perform a variety of responsible clerical assignments requiring independent judgment in the recording, disposition, and maintenance of a large volume of information or records. Knowledge of a complex work cycle and varied work procedures and practices is necessary to process this material. Work is usually performed without assistance and with a review of results only. Some positions check the work of other clerks assisting with routine details and advise other employees on how to handle work problems. This class is distinguished from the Clerk II class by the greater independence with which work is performed, the greater variety and difficulty of assignments, and the greater responsibility for actions taken. It is distinguished from the Records Clerk class series by the less complex records system, the lack of various cross-reference indexes, and the less sophisticated permanent storage system.
ESSENTIAL FUNCTIONS:
- Opens, sorts, separates, date stamps, arranges, files, and distributes mail, products, or materials;
- Files materials alphabetically, numerically, chronologically and by other predetermined categories;
- Reviews files, documents, and other printed materials for completeness and accuracy;
- Corrects errors and adds missing information to files or documents by computer or manual methods;
- Retrieves information from files, documents, and other sources of information to answer questions from other employees, the public, or other agencies;
- Type office reports and correspondence;
- Operates office equipment needed to perform clerical assignments;
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.
Required Knowledge, Skills and Abilities:
Knowledge of:Ability to:
- Business arithmetic.
- Modern office practices, procedure, and equipment.
- Proper spelling and English grammar.
- Communicate orally with customers, clients, or public using a telephone and in a face-to-face, on-to-one setting.
- Understand and follow complex oral and written instructions in the English language.
- Establish priorities for own workload based upon need for immediate action, work objectives and schedules.
- Comprehend and make inferences from written material.
- Review documents for completeness and accuracy.
- Perform alphabetical, numerical, and chronological filing.
- Write legibly.
- Remain in a standing position for extended periods of time at a public service counter.
- Remain in a sitting position for extended periods of time.
- Operate standard office equipment such as keyboard devices, calculators, and related equipment.
- Bend or stoop repeatedly to retrieve files or books from low shelves.
- Enter data or information into a terminal, PC, or other keyboard device.
- Work cooperatively with other employees and the public.
Additional Requirements:
- Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license, and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.
- Some positions will require the performance of other essential and marginal functions depending upon work location, assignment, or shift.
ACCEPTABLE EXPERIENCE AND TRAINING:
Two years of clerical experience or one year of experience at the level of Clerk II. Other combinations of education and experience that meet the minimum requirements may be substituted.
