DISTINGUISHING FEATURES OF THE CLASS:

The fundamental reason this classification exists is to perform varied clerical assignments of average difficulty which require typing and clerical skills. Limited interpretation of departmental rules, regulations and procedures is required. Until the more difficult phases of work are learned, employees work under close supervision; thereafter detailed instructions are received only at the institution of changes in procedures and on unusual or difficult matters. A Typist II may check the work of employees assisting with routine details and assist with the training of new employees but does not exercise regular supervision over others. The variety and difficulty of work differs among positions. Where work is repetitive, there is an added responsibility for finality of action. The greater complexity of clerical and typing assignments and the more comprehensive overall knowledge of clerical methods and procedures distinguish this class from Typist I.
ESSENTIAL FUNCTIONS:
- Acts as a receptionist, greets visitors, answers and responds to general inquiries or routes calls to the appropriate personnel;
- Sorts, indexes, and files materials numerically, alphabetically, or by some other predetermined classification according to established procedures;
- Operates common equipment incidental to clerical assignments;
- Answers varied inquiries, over the phone or in person, explaining policies and procedures and resolving routine questions or problems independently;
- Types a variety of material from rough drafts or instructions, frequently requiring independent action and discretion in disposing of minor procedural problems or composition of end products;
- Proofreads and edits documents;
- Retrieves and tracks files or information from files;
- Logs reports and other information into binders, card files, or other records;
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.

- Learn assigned tasks readily and adhere to prescribed routines.

- Work cooperatively with the public and other City employees.
- Remain in a sitting position for extended periods of time.
- Operate a typewriter or other keyboard device.
- Communicate in the English language with individuals in a face-to-face one-on-one setting or by telephone.
- Learn job-related material primarily through oral instruction and observation. This learning takes place mainly in an on-the-job training setting.
Additional Requirements:
- Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid drivers' license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.
- Some positions will require the performance of other essential and marginal functions depending upon work location, assignment, or shift.
ACCEPTABLE EXPERIENCE AND TRAINING:
Two years of experience performing basic clerical work. Other combinations of experience and education which meet the minimum requirements may be substituted.
