DISTINGUISHING FEATURES OF THE CLASS:

The fundamental reason this classification exists is to be responsible for recording, both by tape and through stenographic notes, formal City Council and zoning meetings; transcribing those notes, typing a verbatim of the proceedings, and preparing a written summary of the City Council sessions. Assignments are performed independently. This class is distinguished from Secretary III, Assign: Council Reporter primarily by the complexity of the sessions and finality of the report. Work is reviewed by the Council Reporter Coordinator by evaluation of reports prepared. Working evening hours is often required.
ESSENTIAL FUNCTIONS:
- Takes stenographic minutes and tape records formal City Council sessions and transcribes the minutes in a verbatim format;
- Composes the Record of Council in accordance with standard format;
- Sets up Council Chambers;
- Prepares City Council Agenda from RCA's placing in proper format;
- Gathers data and other information needed to prepare the Report of Council;
- Answers inquiries from the public regarding Council meetings;
- Prepares correspondence to zoning applicants.
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.
Required Knowledge, Skills and Abilities:
Knowledge of:Skill in:
- City Council proceedings.
- Business English, spelling and grammar.
- Community current events.
Ability to:
- Taking and transcribing minutes from tape and stenographic notes.
- Operating word processing equipment.
- Assemble and organize data.
- Compose reports and letters from verbatim transcription to provide an accurate account of the City Council meeting.
- Work cooperatively with others.
- Communicate orally in the English language with customers, clients and the public using a telephone or in a face-to-face, one-to-one or group setting.
- Produce written documents in the English language with clearly organized thoughts with proper sentence construction, punctuation and grammar.
- Enter data or information into a terminal, PC or other keyboard device.
Additional Requirements:
- Some positions will require the performance of other essential or marginal functions depending upon work assignment.
ACCEPTABLE EXPERIENCE AND TRAINING:
Four years of secretarial experience including extensive minute taking and report writing activities. Other combinations of experience and education that meet the minimum requirements may be substituted.
