DISTINGUISHING FEATURES OF THE CLASS:

The fundamental reason this classification exists is to coordinate the day-to-day activities of a court or Prosecutor's office support section. This class is responsible for serving as a first line supervisor over Court/Legal Clerks I and II. The Court/Legal Clerk III classification is distinguished from Court/Legal Clerk II classification by the supervisory responsibility and the assignment of complicated and sensitive processes and procedures. The Court/Legal Clerk III works under the general supervision of a Court Supervisor or Deputy City Prosecutor.
ESSENTIAL FUNCTIONS:
- Plans, organizes, schedules, and supervises the support services activities of a section in the Municipal Court or the Prosecutor's Office;
- Conducts training for new employees and provides ongoing training as related to legally mandated and administratively imposed procedural changes;
- Investigates and responds to complex public complaints and requests for service in accordance with established policies and procedures;
- Compiles, summarizes and evaluates statistical information;
- Assists in desk audits and cash balance audits;
- Prepares cash deposit of daily court receipt of monies;
- Collects monies for copying fees and returns appropriate change;
- Sorts, separates, arranges, and files court or legal documents as prescribed by the Court records filing system;
- Writes reports and correspondence;
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.

- Pertinent State/Federal legal requirements affecting Court or Prosecutor operations.
- Principles of cash handling, security and control.
- Effective supervisory principles and practices.
- English, business arithmetic, and basic accounting.
- Modern office practices and equipment.
- Personnel Rules, Administrative Regulations and MOUs related to day-to-day supervision of a section.
- Legal and court terminology.
- Municipal Court or City Prosecutor organization, policies and procedures.
- Perform a broad range of supervisory responsibilities over others.
- Communicate orally with defendants, attorneys, victims, co-workers, or the public in a tactful and courteous manner, in face-to-face one-to-one settings, or using a telephone.
- Review and check the work product of others to ensure conformance to standards.
- Produce written documents, such as reports and correspondence with clearly organized thoughts using proper sentence construction, punctuation, and grammar.
- Work cooperatively with other employees, defendants, attorneys, victims, and the public, often under stressful situations.
- Interpret Court policies and procedures.
- Enter data or information into a terminal, PC or other keyboard device.
- Learn job-related material primarily through oral instruction and observation. This learning takes place mainly in an on-the-job training setting.
- Utilize second language skill in the routine performance of duties.
- Work safely without presenting a direct threat to self or others.
Additional Requirements:
- Some positions will require the performance of other essential and marginal functions depending upon work location, assignment or shift.
- Some positions will require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.
ACCEPTABLE EXPERIENCE AND TRAINING:
Three years of clerical experience, including two years of experience performing specialized clerical tasks in the courtroom, in a related court operation section, or a law office. Other combinations of experience and education that meet the minimum requirements may be substituted.
