COURT SUPERVISOR

DISTINGUISHING FEATURES OF THE CLASS:

The fundamental reason this classification exists is to provide supervision of support services provided to the judges in the courtrooms and/or the operational support activities of the Municipal Court. Responsibilities include overseeing cashiering for revenues, trust monies, and money instruments; bank deposit preparation; ensuring compliance with money, case file, and computer security procedures; record maintenance and retention including microfilming of original documents; warrant processing, security and verification of accuracy; computer data input/verification/retrieval; and/or supervising other Court support employees performing diverse and moderately complex clerical assignments. Incumbents are expected to work independently and efficiently, ensuring that all transactions meet department guidelines and legal requirements. Court Supervisors provide direct supervision over the classifications of Bailiff, and Court/Legal Clerks I, II, and III. Court Supervisors work under the general supervision of an Assistant Court Administrator, who evaluates work on the basis of effectiveness in accomplishing objectives.
ESSENTIAL FUNCTIONS:
- Plans, organizes and supervises the work of bailiffs and/or clerical personnel responsible for supporting courtroom, cash handling and security, data base maintenance and update, record keeping, and/or other operational functions of the Municipal Court;
- Investigates and responds to the more complex public complaints and requests for service in accordance with establishes policies and procedures;
- Interprets and explains Court procedures, City practices, administrative regulations, and union MOU's for employees;
- Advises department management on progress achieved and problems encountered;
- Analyzes, designs, and implements procedural and operational improvements within the section to which assigned;
- Assists administrative staff in analyzing existing procedures and determining impact of proposed changes and makes recommendations to improve Court operations;
- Conducts initial training for new employees and provides ongoing training as required to teach legally mandated and administratively imposed procedural changes;
- Coordinates work flow between sections of the Court.
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.

- Personnel Rules, administrative regulations, and MOU's as related to day-to-day supervision of employees.

- Work cooperatively with various levels of management, co-workers, and the public.
- Communicate orally with customers, co-workers, and the public in face-to-face one-to-one settings and using a telephone.
- Produce written documents with clearly organized thoughts using proper sentence construction, punctuation, and grammar.
- Work safely without presenting a direct threat to self or others.
- Observe or monitor people's behavior to determine compliance with standards.
- Review or check the work product of subordinates to ensure conformance to standards.
- Interpret rules, regulations, and policies and make decisions based upon them.
- Work under pressure and independently establish priorities to accomplish objectives.
- Develop and implement specific procedures from general instructions.
- Maintain complex records, research and assemble data, evaluate statistical information, and write reports from such data.
Additional Requirements:
- Some positions will require the performance of other essential and marginal functions depending upon work location, assignment or shift.
ACCEPTABLE EXPERIENCE AND TRAINING:
Three years of progressively responsible public contact/clerical experience, including one year of supervisory experience supplemented by college level data processing, accounting, and other business related courses. Other combinations of experience and education that meet the minimum requirements may be substituted.
