TRANSPORTATION CLERK
JOB CODE 01750
Effective Date: Rev. 03/08X DISTINGUISHING FEATURES OF THE CLASS:
The fundamental reason this classification exists is to perform a variety of tasks related to the operation of the Senior Services Division, Reserve-A-Ride program. This classification works in a remote area office and supports the citywide transportation program. Incumbents in this classification must have excellent telephone skills and the ability to work within tight deadlines. Incumbents are responsible for registering and scheduling clients via a computerized transit scheduling/routing system; updating multiple logs and records; providing accurate and timely transmittal of information; compiling weekly/monthly statistical reports; maintaining records, and ordering/dispensing supplies. Incumbents may be required to perform dispatching duties using a base radio. Work is performed under the general supervision of an Administrative Assistant I or a Transportation Supervisor.

ESSENTIAL FUNCTIONS:
- Communicates orally with considerable tact in the English language with the public/customers;
- Operates a multi-line telephone to respond to calls from clients for the purpose of scheduling transportation, providing information of services, and registering new clients;
- Enters data into a computerized transit scheduling/routing system to register clients;
- Tracks, edits, and reconciles daily driver manifests to ensure accuracy of miles and number of clients transported;
- Updates all routing, scheduling information within the computerized system as needed to ensure the accuracy of the statistical information that is captured;
- Retrieves, updates, and compiles a variety of weekly/monthly reports using a computer;
- Maintains routing sheets in accordance with the City Clerk and Federal Transit Administration’s record retention policies;
- Maintains and verifies disability and subscription files;
- Records information on call sequencer;
- Counts monies and ensures bank deposit slips are completed;
- Orders and distributes supplies;
- Dispatches information and relays messages;
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.

- Remain calm and work effectively with a heavy workload in a fast-paced environment.
- Accurately transfer recorded information into computerized system.
- Operate a base radio and multi-line telephone system.
- Speak clearly and use a well-modulated and pleasant voice and use good grammar when communicating in the English language with customers, clients, and the public using a telephone or in a one-to-one or group setting, or when using radio equipment.
- Understand and follow moderately complex oral instructions given in the English language.
- Learn job-related material primarily through oral instruction and observation (this learning takes place mainly in an on-the-job training setting).
- Work cooperatively with City employees and the public.
- Perform basic mathematical calculations such as addition, subtraction, multiplication, division, and percentages.
- Enter data or information into a terminal, PC, or other keyboard device to utilize word processing or electronic spreadsheet software.
Additional Requirements:
- Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee does not have personal insurance coverage. Some positions will require the performance of other essential and marginal functions depending upon work location, assignment, or shift.
ACCEPTABLE EXPERIENCE AND TRAINING:
One year of responsible clerical experience and/or customer service experience which includes customer interaction, computer skills, and the ability to operate a multi-line telephone system. Other combinations of experience and education which meet the minimum requirements may be substituted.
