SUPPLIES SUPERVISOR

DISTINGUISHING FEATURES OF THE CLASS:

The fundamental reason this classification exists is to supervise the operation of the Central Stores Warehouse for the City or a large supply room, warehouse or yard which services one large department with technical or specialized items. The Supplies Supervisor is responsible for the receipt, inspection, custody, and distribution of inventory, maintenance of the computerized perpetual inventory record system, and the requisitioning and accountability of stock replenishments. Supervision is exercised over Supplies Clerks, Remote Computer Terminal Operators and Equipment Operators.
ESSENTIAL FUNCTIONS:
- Monitors and controls expenditures;
- Composes budget requests that reflect section needs;
- Assists in the preparation and administration of the annual section budget;
- Coordinates implementation of new systems, policies, and procedures;
- Implements budget adjustments during the year to reflect revised spending priorities;
- Compiles monthly and annual performance and activity reports;
- Establishes procedures for inventory control, warehousing, storeroom, and supply delivery operations;
- Supervises employees engaged in the daily operation of a large supply or stores warehouse;
- Compiles and maintains activity and inventory records;
- Conducts studies of warehouse methods and procedures and recommends changes;
- Reviews and participates in required inventory of stock and establishes stock levels;
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.

Knowledge of:Ability to:
- Storekeeping and warehousing methods and practices.
- Purchasing methods and procedures including buying, inspections and shipping methods.
- Principles of personnel management and supervision.
- Perform a broad range of supervisory responsibility over others.
- Work cooperatively with other City employees, vendors and the public.
- Communicate orally in the English language with customers, employees, vendors, and the public in face-to-face, one-to-one and group settings, or by telephone.
- Comprehend and make inferences from material written in the English language.
- Remain in a sitting position for extended periods of time.
- Observe, compare, or monitor data, such as excess amounts and turnover rates, to determine compliance with prescribed operating standards.
- Write reports on storeroom operations and activities with clearly organized thoughts using proper sentence construction, punctuation, and grammar.
Additional Requirements:
- Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.
- Some positions require the performance of other essential and marginal functions depending upon work location, assignment, or shift.
ACCEPTABLE EXPERIENCE AND TRAINING:
Five years of experience in warehousing, stores, and stores records activities, including two years of supervisory experience. Other combinations of education and experience that meet the minimum requirements may be substituted.
