EVENTS REPRESENTATIVE

DISTINGUISHING FEATURES OF THE CLASS:

The fundamental reason this part-time classification exists is to provide on-site supervision of events taking place in the Phoenix Convention Center, Orpheum Theatre, and Symphony Hall. Performing under the supervision of an Events Coordinator, and representing Convention Center Department management, this class coordinates and directs the activities of support personnel to ensure that contractual agreements with leasing tenants are met.
ESSENTIAL FUNCTIONS:
- Directs and coordinates the work of event support personnel including ushers, security guards, caterers, and decorators working on contract with the City;
- Ensures that the set up of chairs, tables, stages, sound equipment, decorations or other equipment is in accordance with lease requirements;
- Explains policies and procedures for use of Convention Center and theatrical facilities to tenants and the general public;
- Opens and secures facilities before and after events;
- Produces event reports noting attendance and significant problems;
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.
Required Knowledge, Skills and Abilities:

- Operating procedures of a large convention, theatrical, or other public use facility.
- Direct and coordinate the work activities of multiple support staff groups.
- Communicate in the English language by phone or in person in a one-to-one or group setting.
- Observe or monitor objects to determine compliance with prescribed operating or safety standards.
- Use graphic instructions, such as layouts and set up plans.
- Comprehend and make inferences form written material.
- Learn job-related material primarily through oral instruction and observation which takes place mainly in an on-the-job training setting.
- Produce written documents in the English language with clearly organized thoughts using proper sentence construction, punctuation, and grammar.
- Enter data or information into a computer terminal or other keyboard device.
- Remain in a standing position for extended periods of time.
- Work safely without presenting a direct threat to self or others.
Additional Requirements:
- Employees in this classification work irregular day and evening hours on a part-time basis.
- Some positions will require the performance of other essential and marginal functions.
ACCEPTABLE EXPERIENCE AND TRAINING:
One year of experience in the operation of a theater, convention center, or similar public assembly facility. Other combinations of experience and education that meet the minimum requirements may be substituted.
