ASSISTANT EVENT SERVICES MANAGER

The fundamental reason this classification exists is to assist the Event Services Manager with the day-to-day operation of the Event Services Section through supervision of Event Services Supervisors. Responsibilities include planning work assignments to meet facility user demands for activities at the Phoenix Convention Center and venues such as conventions, luncheons, commercial exhibitions, and theatrical performances to accomplish regular custodial tasks and warehouse duties. Work schedules and nature of work vary according to facility user requirements. Work is performed under the supervision of the Event Services Manager and performance is evaluated based upon results obtained.
ESSENTIAL FUNCTIONS:
- Assigns work to employees, oversees work procedures and inspects work in progress and upon completion;
- Plans details for the setup of tables, chairs, stages, riser seats and other similar equipment for such activities as meetings, conventions, and exhibitions based upon specified general arrangements;
- Manages contracts for the provision of materials, services and temporary labor, and assists in writing contract scopes relating to Event Services Section contracts;
- Trains and supervises employees in the safe operation of equipment, such as floor scrubbers and fork lifts, and in the routine minor maintenance of buildings and equipment;
- Ensures the availability of safe and usable tools, supplies, and equipment;
- Communicates with vendors and evaluates new products;
- Communicates with Convention Center and Theatrical clients to clarify needs and to make recommendations for event setup;
- Works effectively with other sections of the department;
- Represents the Event Services Manager when unavailable;
- Meets with different shifts to hold staff meetings and implement staff input in a timely manner;
- Monitors and evaluates employee performance;
- Meets with Venue Managers as needed to handle issues;
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.

- Common hand tools and the use and maintenance of light motorized equipment.

- Computer based applications including Lotus Notes, Microsoft Office, AutoCAD, and event management software.
- Perform a broad range of supervisory responsibilities over others.
- Communicate in the English language by phone or in person in a one- to-one or group setting.
- Instruct others in a one-to-one or group setting.
- Work cooperatively with other City employees and the general public.
- Observe or monitor objects, data, and people's behavior to determine compliance with prescribed operating and safety standards.
- Review or check the work products of other to ensure conformance to standards.
- Measure distance using a tape measure, measuring wheel or laser device.
- Use graphic instructions, such as layouts, setup plans or other visual aids.
- Estimate labor or material costs from work plans.

Additional Requirements:
- Employees in this classification work irregular hours, evenings, and weekends.
- Some positions will require the performance of other essential and marginal functions depending upon work location, assignment or shift.
ACCEPTABLE EXPERIENCE AND TRAINING:
Four years of event set-up and janitorial experience in a convention center, hotel or other large public use facility, including two years of supervisory experience. Other combinations of experience and education that meet the minimum requirements may be substituted.
